We are recruiting for a Dispensary Manager

  • Permanent contract – 37.5 hours
  • Salary commensurate with experience


Oakfields Health Centre, part of Oakfields Health Group, is a busy dispensing GP practice employing high calibre individuals and we are currently looking to recruit a new Dispensary Manager.  This is a permanent role, 37.5 hours, plus holiday cover as required.


Your duties will include but not be limited to:

  • Quick, efficient and accurate dispensing of medication to patients, including checking prescriptions.
  • A high standard of customer service, dealing with all queries in a professional, courteous and efficient way.
  • Effective and timely integration of patient care, including clinical system data input.
  • Excellent communications with pharmaceutical suppliers and local pharmacies.
  • Assisting the GP Partners and Business Manager in ensuring financial stability and effective cost control of the dispensary.

You must have relevant dispensing experience and qualification equivalent to NVQ level 3.

Job Description

To ensure quick, efficient and accurate dispensing of medication to patients

To maintain excellent communications with pharmaceutical suppliers and local pharmacies

To assist the GP Partners and Business Manager in ensuring financial stability and effective cost control of the dispensary

SCOPE

Oakfields Health Centre is a dispensing practice providing primary care services for circa 5,600 patients in a rural community. The practice employs a dispensary manager and 3 part-time dispensers, dispensing to approximately 50% of registered patients

MAIN DUTIES & RESPONSIBILITIES

Dispensing

  • Dispensing and checking of acute, repeat and private prescriptions
  • Issuing prepared prescriptions
  • Processing requests for repeats and dealing with queries from patients, clinicians and support staff e.g. community nurses
  • Ensuring preparation of dosette boxes

Prescriptions

  • Processing private prescriptions
  • Processing requests for repeat prescriptions received online and in writing
  • Filing prescriptions
  • Taking responsibility for end of month processes
  • Collection of prescription charges/checking patient exemption statements
  • Handling prescription money
  • Keeping an account of cash taken from prescriptions and ensure the same is banked in a timely manner

Record keeping

  • Maintaining full, accurate, up-to-date electronic records of all dispensing transactions
  • Maintaining accurate records of controlled drugs
  • Maintaining comprehensive records of stock and orders

Communications

  • Communicating effectively with other team members
  • Communicating effectively with patients and carers
  • Recognising people’s needs for alternative methods of communication and respond accordingly
  • Checking with GPs or in patient records if concerned about the appropriateness of requests for medication
  • Dealing with queries from patients regarding their prescriptions
  • Liaising with doctors and patients regarding queries & changes to medication

Stock control

  • Taking responsibility for the ordering of drugs and surgery sundries ie dressings & stoma products, for the practice
  • Gaining information and negotiating sales terms from pharmaceutical companies and or their representatives
  • Maintaining cost effective supplies of drugs that are purchased on behalf of the practice
  • Taking into consideration NENC ICB medicine/dressing formularies and working within the prescribing budget for the practice
  • Following systems to ensure efficient stock control, continuity of supply for patients and minimise wastage
  • Handling controlled drugs in accordance with Standard Operating Procedures
  • Receiving goods from wholesalers and storing drugs in an appropriate manner in accordance with the manufacturers’ instructions
  • Ensuring that refrigerated items are stored at the appropriate temperature and maintaining the temperature control record/logbook
  • Stocking shelves, refrigerators and other storage areas using rotation method
  • Organising and assisting in stock checks via Pol Valuers Ltd
  • Removing out of date stock from the shelves, refrigerators and other storage areas
  • Ensuring correct disposal of returned/unused or out–of-date medicines

Dispensary environment

  • Ensuring that that all dispensary equipment is clean and kept in good working order
  • Ensuring all areas are kept tidy and filing systems and processes are followed
  • Ensuring work surfaces and shelving are cleaned on a regular basis or when visibly soiled

Other duties

  • Training of new dispensers
  • Ensuring cover for annual leave/sickness
  • Leading and contributing to staff meetings in a constructive manner with a view to continuing service improvement
  • Developing and reviewing standard operative procedures (SOPS), annually or as required
  • Undertaking other reasonable duties within the framework of the post as directed by the GP Partners/Business Manager
  • Taking responsibility for the Dispensing services (DSQS) annual audit submission and other practice audits, where appropriate, utilising SystmOne searches as required

  • In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers. They may also have access to information relating to the Practice as a business organisation.  All such information from any source is to be regarded as strictly confidential
  • Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data
